- Arranging product demonstrations, consultations, and return calls.
- Managing appointment confirmations, changes, and reminders.

We do not use appointment preparation notes for unrelated advertising purposes.
4. Microsoft Bookings and Teams
Holara uses Microsoft 365 for business communications, including Microsoft Bookings and Microsoft Teams for appointments scheduled through our website.
When you schedule an appointment, the information you provide is processed through Microsoft Bookings and related Microsoft 365 services. This may include your name, email address, telephone number, organization, professional role, selected conversation type, discussion topic, preparation notes, and appointment details.
Microsoft Bookings is the appointment system of record.
Product Demo and Schedule a Conversation appointments take place as Microsoft Teams online meetings. Return Call appointments take place by telephone, using the number you provide.
Microsoft Bookings sends appointment confirmations by email, with options to cancel or reschedule an appointment, and may send reminders where they are enabled. Microsoft processes the information necessary to create and manage appointments, send these communications, and provide meeting functionality under its applicable service terms and privacy commitments.
Microsoft's Privacy Statement is available at: https://www.microsoft.com/privacy/privacystatement

We do not provide customer appointment preparation notes to unrelated advertisers for their independent marketing activities.
6. Cookies, Analytics, and Website Technologies
Our website uses technologies provided by our hosting, security, and analytics infrastructure.
Security cookies
Our current hosting environment sets a Cloudflare security cookie identified as __cf_bm.
This cookie supports automated traffic detection and protection against potentially abusive or malicious activity.
It is short-lived and is associated with website security rather than customer appointment scheduling.
Website analytics
Our current hosting platform provides visitor analytics for the website. These analytics help us understand overall website traffic, such as pages visited and general visit patterns.
To support website measurement, our hosting platform loads visitor-analytics scripts and may use cookies or similar browser technologies. The specific technologies depend on the hosting platform's active configuration. Analytics information is processed by the hosting platform and its analytics service providers.
The hosting platform also loads additional platform-managed scripts associated with website operation and measurement. Holara is reviewing the configuration of these platform features and will update this disclosure if their use changes.
The current website audit did not identify Google Analytics, Google Tag Manager, Microsoft Clarity, Hotjar, Segment, or PostHog.
Holara does not use website analytics for advertising, and will provide additional notices or visitor choices where required.
Hosting changes
Holara may change hosting, infrastructure, security, analytics, or content-delivery providers as its website evolves.
Any material changes affecting personal-information processing, cookies, or analytics will be reflected in this Privacy Policy as appropriate.
7. Information Security
Holara takes reasonable administrative, technical, and organizational measures intended to protect personal information against unauthorized access, disclosure, alteration, or loss.
Measures currently in place include:
- Encrypted website connections (HTTPS), with secure-connection enforcement.
- Security and automated-traffic protections provided by our hosting infrastructure.
- Access to business systems restricted to authorized personnel.
- Scheduling credentials stored and used only on our servers, never in visitors' browsers.
- Server-side validation of appointment requests before they reach Microsoft Bookings.
- Booking-attempt protection that prevents duplicate submissions and overlapping appointments for the same representative.
- Access controls that keep scheduling records unavailable to the public website.
- Server-side rate limiting on availability lookups and appointment requests.
Access to business and appointment information is limited according to legitimate operational responsibilities.
No method of internet transmission or electronic storage is completely secure, and Holara cannot guarantee absolute security.
8. Data Retention
Holara retains personal information only as long as reasonably necessary for the purposes for which it was collected, subject to applicable legal, contractual, and operational requirements.
Appointment records
Appointment records are maintained in Holara's Microsoft 365 environment. Their retention follows Holara's Microsoft 365 configuration and business requirements.
Technical booking-attempt records
Our website keeps a limited technical record of each booking attempt to prevent duplicate appointments and reconcile uncertain booking outcomes.
These records contain booking identifiers, technical status information, appointment times, a hashed (non-readable) form of the email address, and timestamps. They do not contain customer names, telephone numbers, or preparation notes.
These records are automatically deleted within 30 days.
Hosting, security, and analytics records
Hosting, security, and analytics providers may retain technical records according to their service configurations, operational requirements, and applicable retention policies.
The specific retention practices of the current hosting environment remain subject to verification.
9. Your Privacy Rights and Choices
Depending on your location and applicable law, you may have rights concerning your personal information, including the ability to request:

- Correction of inaccurate information.
- Deletion of personal information, subject to applicable exceptions.

Holara encourages visitors to review the privacy information provided by those services.
This Privacy Policy does not govern independent third-party websites that Holara does not control.
